Invoicing/Credit Control Clerk with Helpdesk and Administration Duties

Hours of Work: 40 hours per week exclusive of rest breaks.

Main Purpose of Job:

To assist is all office duties to ensure the office runs in an organized and efficient manner with the primary duties being invoicing, credit control, and customer service via our helpdesk

Role:

  • To operate in a manner that provides a high standard of accurate work
  • To keep a good control of customer credit
  • To operate in a friendly and co-operative manner with customers and colleagues
  • To voice opinions that may improve procedures, policies, documentation or other areas not mentioned
  • To act as a positive role model to more junior staff
  • To participate in training when required
  • To treat all information confidentially
  • To arrive to work promptly and to attend well
  • To be flexible within the role to meet the demands of work

Duties include:

  • Creating invoices using Sage Instant Accounts/Sage Line 50 with minimal supervision
  • Recording invoices and credit numbers to the appropriate job number on Alarm Master
  • Telephoning customers regarding overdue accounts
  • Keeping clear, legible and logical records of phone calls made to customers - logging date and time of call, who was spoken to and what was said
  • Creating letters of demand routinely and keeping good records of the letters sent
  • Producing Aged Debtor Analysis reports
  • Sending out monthly statements
  • Achieving prompt payment from customers while still maintaining a good relationship
  • Proceeding to small claims when required
  • Receiving and recording payment
  • Answering the telephone and dealing with queries
  • Logging telephone calls answered onto alarm master
  • Logging jobs to system as required
  • Reporting messages to the appropriate person clearly and without unnecessary delay
  • Covering other administration duties when holidays, sickness or work demands require
  • Receiving stock, checking orders and logging onto Alarm Master
  • Operating within the health and safety policy
  • Ensuring work station and communal areas are kept clean and tidy at all times
