University Rentals is a Property Letting and Management Agency located in the University Area of South Belfast. The company deals with the student, graduate and professional markets -letting and managing a large portfolio of property throughout the university area. We are looking for a part-time Accounts / Property Lettings Administrator to join us immediately working 20 hours a week initially. In addition t the main duties listed below we are looking for someone to be a trusted team player in our office. You must therefore be prepared to help- out colleagues and assist in all aspects of the business as required.

Main Duties will involve;

  • Upload of new bank entries
  • Rent Roll administration- Update the database on a daily base
  • Direct Debit Processing
  • Rent Allocations to tenancies
  • Managing TDS Funds
  • Distribution of payments to Landlords and Contractors
  • Chasing outstanding Rent Arrears
  • Processing card payments
  • Preparation and management of invoices
  • Preparing and issuing monthly statements for landlords
  • Petty cash reconciliation
  • Prepare management reports as required
  • Preparing and printing direct marketing materials and mail merges
  • Update available property list and property websites
  • Administration involved in creation of new leases
  • Checking and dealing with incoming mail and phonecalls, property and maintenance enquiries
  • Dealing with utility companies for Check Outs/Check In
  • Attending to enquiries from landlords/tenants and providing information as and when required
  • Maintaining and updating CRM and property contact databases (tenant/ landlord/supplier)
  • Maintaining and updating Rentpro management system
  • Ad-hoc associated administration tasks as required

The Person

  • Excellent communication skills, both spoken and written.
  • High attention to detail
  • Strong organisational skills and the ability to multi task
  • Experience of SAGE 50 Accounts Software or Quickbooks and CRM Systems
  • Administrative Experience
  • Good Microsoft Office Skills

Working Hours: 20 hours per week, hours negotiable

Salary:£16,000 per annum pro rata

Job Type: Part -Time, Permanent
