Property Lettings Manager/Administrator - Immediate Start

We are a long established Letting and Management company located in the University Area of South Belfast. The business deals with the student, graduate and professional market and has a large portfolio of property throughout the University Area. A vacancy has arisen in our office generating an excellent opportunity to join our team.

The Property Manager/Administrator is required to provide day -to- day administrative and management support to all team members. In addition to the main duties listed below we are looking for someone to be a trusted team player in our office. You must therefore be prepared to help- out colleagues and assist in all aspects of the business as required.

Description Of The Role

This role entails a broad range of administrative and management duties to enable timely and appropriate servicing of all our clients.

Property Management Duties include:

  • Update available property list and property websites
  • Preparing and printing direct marketing materials and mail merges
  • Preparation of all new leases and administration relating to same
  • Collect tenant fees, collect and secure deposits
  • Setting up new units on the CRM and maintaining and updating when required
  • Dealing with property maintenance issues
  • Maintaining and updating Rentpro management system
  • Liasing with clients and Producing client statements
  • Ensuring Legislation compliance
  • Take Out of Hours Emergency Calls, when required

Property Administration Duties Include:

  • Working within a busy office environment, answering the telephone and responding to email enquiries.
  • Diary Management
  • Preparing invoices and reports
  • Rent Roll administration- Update the database on a daily base
  • Creating and updating paperwork for Direct Debits
  • Liaising with tenants regarding outstanding payments
  • Preparation of rent demand
  • Maintaining and update property contact databases (tenant/ landlord/supplier)
  • Stationary Management
  • Supplier liason
  • A wide range of other duties as required

The Person

  • Experience of working within an Administrator position, ideally (but not essentially) from a Property background.
  • Professional, wellspoken and well presented
  • Excellent Skills in MS Office
  • Experience of SAGE Accounts Software, or Quickbooks & CRM preferable
  • Ability to communicate effectively at all levels via telephone, e-mail and in person
  • Excellent attention to detail and high levels of accuracy
  • Ability to Learn Quickly and to be flexible in a dynamic and challenging environment
  • Ability to work on own initiatve and within a team, with a hardworking, highly motivated and pro – active attitude.
  • Full clean driving licence preferred

Regular working hours: 9.00am – 5.30pm Monday to Friday

20 days annual leave plus Bank Holidays

Salary £16,500- £18,000 per annum depending on experience

Job Type: Full Time, permanent
